The challenge

An executive visit where the meeting is the point, the calendar is tight and nothing said at dinner can be overheard.

What we did

Sessions in the morning, one physical module that resets the room in the afternoon, private venues in two cities, and an NDA-covered supplier chain on request.

The outcome

Three days, two cities, no shared meeting floors, and a facilitator rather than an entertainer on the ice.

The idea

Executive visits fail when they are over-programmed. This one is built around the meetings.

Sessions in the morning, one outdoor module in the afternoon, and dinner in a private room.

Day 1

Helsinki, working day

Boardroom sessions in the city, host-company visits through our network, and an evening at a private sea sauna.

Helsinki Market Square, harbour steamers and the seawater pool deck on a bright summer day

Day 2

North

Morning flight to Lapland. Session on the fell, then ice swimming led by a facilitator.

Day 3

Close

Final session over breakfast, wilderness lunch, and afternoon connections home through Helsinki.

Guests resting on reindeer hides by an open fire on a frozen lake, snowshoes beside them

The module set

What the days are built from.

Each module runs in waves so the group never queues. Swap any of them for another in the same slot.

How it runs

The operational detail behind the week.

Meetings

  • Room held from the night before, set and tested by 07:00.
  • Hybrid dial-in, redundant connection and a technician present through every session.
  • Printing, secure disposal and a locked storage point on site.

Discretion

  • NDA-covered supplier chain on request, signed before the site inspection.
  • No group signage, no name badges in public areas.
  • Private dining rooms only. No shared restaurant floors.

Travel

  • Individual arrivals tracked; each guest met by name at the gate.
  • Two cars per session block held on standby for early departures.
  • Return connections routed through Helsinki with a 3-hour buffer.

Worth knowing

  • Three days is tight. Adding a fourth module usually costs the last session its focus.
  • Ice swimming is optional and about a third of any group declines. The schedule assumes that.
  • Host company visits depend on their calendar. We confirm them before the programme is priced.

How it flexes

Same shape, other briefs.

Summer version

The arctic day becomes an archipelago day: same structure, boats instead of snow.

One city

Helsinki only for two days when the calendar cannot carry the flight.

Board plus partners

A parallel partner programme runs while sessions are in progress.
